Kit Officer
The Kit Officer is a non committee role carried out by a paid up member of Victory Athletics Club.
The person is responsible for the following:-
- Keeping existing kit in a safe, dry and secure place.
- Ordering new key for use by club members but only the following are sold:-
Vests
T-Shirts
Hoodies
Reflective Tops
Sweat Shirts
- Selling new kit to members when:-
Replacing or adding
Or via memberships
- Passing details of items sold to the Treasurer including:-
Type of kit
Member name
Price paid
- Keeping an inventory of existing kit, the cost from suppliers and what we sell at.
- Supply once a year a complete inventory to the Treasurer for him to supply details to IBM.
Ordering
Our 2 main suppliers are WASP Sports and FASRAX.
We get the vests from WASP.
There is a minimal amount of 18 that we can order and they will only take a payment in advance.
There order form can be obtained online.
The vests we order are uni-sex and sizes are dictated by the forms - most of our runners are: 32-42 in size.
WASP price is all inclusive.
The cheque can be obtained by the treasurer from IBM
Weekly Flyer
The producer of the Flyer is a non committee role carried out by a paid up member of Victory Athletics Club.
There are some pre-requisites:-
- An email id and account.
- Broadband is a must - not sure too many people have narrow band.
- Be committed to be available to action the Flyer each week.
The objective is to deliver information to club members in the form of an email on the following:-
- Forthcoming events, including arrangements for travel to races
- Results and reports
- Social events
- Events of interest to other runners
Weekly Process:-
- Members send events to the Flyer id (just a post box, no access required) and these are re-directed to the person doing the Flyer.
- On a Wednesday evening using an old Flyer, copy the header and start a new one, changing the dates
- Put the Flyer together, format is normally key messages at the top eg memberships due, then forthcoming events, then reports, then the social and AOB.
- If you add a comment – use Ed.
- Send out to a distribution list.
Other Points:-
- Maintain the distribution list on your id and keep in line with the membership secretary
- Some email systems are more awkward than others with limited dists list and need attachments manually adding
- Vacation – find a deputy. Kevin McTaggart, Jim Clow and Pete Drury can do it.
(Before this can be done the flyer id needs to be switched by Webmaster – request by email)
Trophy Organiser
Main Purpose of Role: To organise trophies for club awards for members of Victory Athletic Club events/competitions.
Awards evenings - Annual Dinner (April)
Presentation Evening (September)
Approximately 6-8 weeks before the Annual Dinner and Presentation awards evening, put a note in the flyer requesting the previous winners of trophies return them to the trophy organiser.

- Hants XC league senior man and women
- Veteran men and women
- Today's runner men's and ladies winner
- Best XC performer
September presentation
Awards
- RRL best performer and contributor per age category.
- Long handicap winners from April - September: Overall winner, second overall, third overall
- Short handicap (March - September) also overall winner, second and third overall winners,
- Ian Murray trophy,
- Gordon Rowe trophy.
Ask the club captains (Road Race League) and Long handicap organiser for the winners' names.
About 3 - 2 weeks before the award evenings, the trophies are taken to the engravers - Victory Trophy's in North End.
Order plates (silver) for handicap winners for each month of the Long Handicap (Summer), overall winner and runner up – these only need to be engraved to the relevant month for individual race winners, and year for the the overall winner of the Long Handicap winner.
Order glasses for the best performance / best contributor of the road race league in relevant age categories.
Collect trophies.
Before leaving shop ensure that the trophies etc are checked to ensure that there are no spelling mistakes and that the ingoing order is the same that is being collected.
Obtain a receipt of the order and give to the club treasurer.
Keep a list and forward a copy of all the winners to the club member responsible for keeping the data base of club winners.
